How It Works

Notarizing with Elite Signatures is designed to be fast and hassle-free. Follow these steps whether you're meeting in person or connecting with a notary online (where available).

1. Upload or bring your document — Upload your full document (PDF or Word) when booking online, or bring the original and any copies to an in-person appointment. Have everything filled in except where the notary must witness your signature.
2. Verify your identity — You'll need a valid government-issued photo ID (or two non-photo IDs). For remote sessions, you may answer a few questions and show your ID on camera.
3. Connect with a notary — Join your scheduled appointment in person or by video. The notary will confirm your identity and witness you signing. For certified copies, they'll compare the copy to the original.
4. Receive your document — Once the notary has applied their seal and signature, you'll receive or collect your notarized document. Many appointments are completed in minutes.

What is Elite Signatures?

Where are online notarizations legal and valid?

Online or remote notarization is permitted in many jurisdictions. Validity depends on the laws of the notary's commissioning jurisdiction and the place where the document will be used. When you book, we'll show options available in your area. Documents notarized in person are generally accepted wherever traditional notarizations are accepted.

How much does notarization cost?

Fees depend on the type of service, number of notary seals or signers, and whether the appointment is in person or online. Pricing is shown when you book. Many providers charge per notary seal or per signature; additional seals or signers may have a separate fee. Check your booking confirmation for the exact amount.

When will I receive my notarized document?

For in-person appointments, you typically receive your document at the end of the session. For online notarizations, the completed document is usually available for download immediately after the session, and may also be sent by email. You'll get clear instructions at the end of your appointment.

Can multiple signers get notarized in one session?

Yes, in many cases. Signers can complete a transaction together on one device, or join from different devices or locations when using remote notarization. Each signer must complete identity verification. If you need multiple signers, indicate this when booking so we can schedule accordingly.

How secure is the process?

We use secure technology for document upload, identity verification, and—for remote sessions—video and electronic signing. Data is encrypted in transit and at rest. Our platform is built with security and compliance in mind. For more detail, see our Privacy Policy.

What can and can't a notary do?

Notaries can notarize or commission many types of documents, including certifying true copies and witnessing signatures. By law, notaries cannot draft documents, give legal advice, or advise on who may act as a witness. If your document needs an extra witness (e.g. for a will or power of attorney), you may need to bring someone with you—check with the receiving institution.

Do you do remote or online notarizations?

Where permitted by law, we offer remote or video commissioning for certain documents. Not all documents can be commissioned remotely; some must be signed in person. When you book, you'll see whether your service is in person or available online. For in-person appointments, each signer must be present in front of the notary.

Can you help with authentication or apostille?

In Canada, the process similar to apostille often involves: (1) notarization by a notary (what we provide), (2) authentication (e.g. Official Document Services or Ottawa), and (3) legalization by the relevant foreign embassy or consulate. Only the embassy or consulate can tell you exactly what they require. We only perform the notarization step.

How do I cancel or reschedule?

Please cancel or reschedule at least 2 hours before your appointment when possible. Use the link in your appointment confirmation or rebook through our booking system. If you need help, contact support on our Contact page.

What if I show up early?

Clients are generally seen in order of appointment time. We may be able to fit you in earlier if there's availability, but we can't guarantee it. You can try rebooking an earlier time online; if you secure a new time, your previous appointment may be cancelled automatically.

To help your appointment go smoothly, please follow these guidelines.

General

• Bring one government-issued photo ID (e.g. passport, driver's licence, citizenship card) or two government-issued non-photo IDs (e.g. birth certificate, SIN card)
• Complete any instructions sent to you after booking (e.g. by text or email) before you arrive or before your video session
• Use the payment methods shown at booking (e.g. cash, debit, or credit where offered); fees may vary by agent and service

For certifying true copies

• Bring the original document and the photocopy; the notary must see the original
• If you have no way to photocopy, check with your agent in advance—some locations may not have a copier on site

For signing documents

• Complete all blanks (names, dates, ID numbers, attachments) before your appointment
• Do not sign or date the document before seeing the notary; the notary must identify you and witness you signing
• Mark an "X" or check where the notary should sign to save time, if your document has designated spaces
• The name on your ID should match the name you use on the document

Notary Seal Tips

In Ontario, notaries often use an embossed (raised) seal. If you need to scan or photocopy the document after notarization, lightly shading over the raised parts of the seal with a pencil can make it show up better in the copy; you can erase the pencil afterward.
